Your identity documents and professional certificates are the credentials your office verifies. This page covers how to add them, keep them current, and what happens when one expires.

Identity documents

Identity documents prove who you are. Seamind supports the documents seafarers carry:
  • Passport
  • Visa
  • Seaman’s book
  • National ID

Adding a document

Open the Documents section

Go to Profile and open Documents.

Add the document

Choose Add document, pick the type, and fill in the details — document number, issuing country, and issue and expiry dates.

Upload a scan

Attach a clear scan or photo. A legible upload helps your office verify it without sending it back.

Save

The document is saved and marked for office review.

Professional certificates

Certificates record your maritime qualifications — for example STCW, GMDSS, medical fitness, and flag certificates. Add each one with its details and expiry date, and upload the certificate itself. The steps are the same as for identity documents: open Certificates, choose Add certificate, fill in the details, attach the file, and save.

Expiry tracking

Every document and certificate carries an expiry date, and Seamind highlights ones that are expired or expiring soon — so you can renew before it lapses and before it affects an assignment.
Renew early. An expired certificate can hold up a sign-on, and your office sees the same expiry warnings you do.

Verification and re-review

After you upload a document or certificate, your office reviews it and marks it Approved or sends it back with a reason. Each credential shows its own status badge:
  • Approved ✓ — your office has confirmed it
  • In review ⧖ — submitted, waiting on your office
  • Action needed ✕ — sent back; the reason tells you what to fix
If you edit an already-approved document — for instance, you replace the scan or change the number — it automatically goes back to In review so your office can confirm the change. Editing only a minor note won’t reset it. See Verification status.
